Do you offer summer programs?
Yes. For the summer of 2024, we offered 11 programs at the following schools: Bay Minette Elem, Belforest Elem, Elberta Elem, Elsanor Elem, Fairhope East, Fairhope West, Loxley Elem, Magnolia Elem, Pine Grove Elem, Robertsdale Elem, Summerdale.

What are the hours for ASC?
Summer ASC sites operate from 7:30 to 5:30, Monday through Thursday. Fairhope schools open at 7:00.
School Year ASC sites operate from 3:00 to 5:30 each day that students are on campus according to the BCPS school calendar.
For the school year, three sites offer a 5:45 pick up for an additional $7 fee: Elberta, Loxley, and Spanish Fort.

What is the weekly cost to attend ASC?
For the School Year: ASC charges weekly tuition based on a school's free/reduced lunch percentage.
$38: Belforest, Daphne Elementary, Daphne East, Fairhope East, Fairhope West, JL Newton, Perdido, Rockwell, Rosinton, Spanish Fort, Stonebridge, WJ Carroll.
$33: Bay Minette, Delta, Elberta, Loxley, Magnolia, Robertsdale, Silverhill, Stapleton, Summerdale
$25: Elsanor, Foley, Mathis, Pine Grove
*Elberta, Loxley, & Spanish Fort offer a 5:45 pickup for an extra $7 per week.

Where do I go to pay my ASC tuition?
ASC tuition must be paid online. School offices nor ASC offices can take cash payments for ASC tuition.
Most parents will pay their weekly tuition at the EZ ChildTrack software page. This link will take you there. You'll log into your account and make the payment on the credit/debit card registered to the account. Auto-payment can be set up there.

Fairhope East, Fairhope West, and JLNewton parents will login to their accounts at My School Bucks. This is the same website used to pay school fees and lunch accounts. Auto-payments can be set up there.

Can I drop off my child for just a few days per week?
No. ASC offers only full week programs. While students can attend the days parents want them to attend, the tuition is paid for full weeks of enrollment.
AfterSchool fees are based on enrollment, not attendance.

When is the weekly tuition payment due?
Weekly payments are due midnight Sunday for the following week. Late fees are charged after midnight on Sunday. Students whose accounts are not paid by Monday will not be able to attend ASC starting on Tuesday.

What if my child is sick?
ASC follows the same sick day exclusions outlined for Baldwin County Public Schools. The list of exclusions can be found HERE. If a child has a fever of over 100.4 or vomits at ASC, parents will be contacted and the child must be picked up immediately.

Do I get a refund if my child is sick or absent?
No. Tuition is based on program enrollment, not attendance. As long as students are enrolled, tuition must be paid.

Are late fees charged?
Yes. A $5 late fee per child is charged on any outstanding balance at midnight on Sunday. This includes balances owed because a credit card has been rejected/denied due to insufficient funds or an expired card.

Do I have to pay the late fee if my card expired?
Yes. Late fees are charged Sunday nights at midnight for any outstanding balance regardless of the reason for the outstanding balance. Fees are $5 per child.

What happens if I miss a payment?
$5 late fees are charged each Sunday at midnight on any overdue accounts.
Site managers check for overdue accounts weekly. Students who have overdue accounts are not allowed to attend until the account is paid in full. Site managers will let you know on Monday if your child can attend on Tuesday.
Overdue accounts are grounds for dismissal from the ASC program. Accounts are checked monthly, and ASC offices will reach out to those with delinquent accounts.

What if I'm late picking up my child?
A late pick-up fee will be charged: $2 per minute per child. The charge will be applied to the next week's tuition, and standard late fees can apply.
After two late pick-ups, dismissal from the program will be considered.

Is there a sibling discount?
Yes. The first sibling pays full tuition, and any additional sibling is discounted $5 per week.
Discounts cannot be layered; ASC offices will apply the largest discount.

Are there employee discounts for BCBE workers?
Yes. Baldwin County Public School employees receive a 25% discount for children they are parent/guardian for.

Are there discounts for ASC workers?
Yes! We love our ASC workers. The discount amount depends on how many days per week the worker is scheduled.
50% discount for working 1 day per week
Tuition is $10 per week for working four days per week
Tuition-free for working five days per week
Discounts cannot be layered; ASC offices will apply the largest discount.

Do you offer scholarships?
Yes. ASC's scholarship process provides 50% or 75% tuition discounts. Site managers can provide interested parents with the scholarship paperwork. The scholarship committee meets monthly, and tuition is owed until the scholarship committee makes a determination.

How do I register for my child to attend AfterSchool Care?
Registration for ASC is an online process. Go to https://www.ezchildtrack.com/parentportala/?c=bcbe to create an account, and then choose the activity.
Registrations will be processed in the order they are received. Students will be screened according to enrollment criteria, and registrations will be moved to enrollment. Families will be sent an email when registrations are either enrolled or waitlisted. Please keep checking your emails as that is our only form of communication.

When can I register for ASC?
Students can register for ASC at any time. At this point in the school year, all registrations will go directly to a waitlist. Depending on the site's population and available workers, students can be moved off the waitlist. Watch your email for information.

How do I know if my registration is approved?
The registration approval process can take several weeks, although we strive to work as efficiently and effectively as possible.
When your registration is approved or moved from waitlist to enrolled, you will receive an email to the email address provided to the registration software.

Can I withdraw my child from ASC?
Yes. Withdrawals must be sent via email to asccwithdraw@bcbe.org. Emails must be sent one week prior to the last week of enrollment. Tuition will be charged each week of enrollment. Timing is important so that you won't be charged.
ASC offices only accept an email withdrawal as the documentation is needed in case of an issue or dispute.

How does ASC handle discipline?
ASC's Student Conduct is board approved and follows BCPSS's Student Code of Conduct. Behavioral infractions are documented and adhere to the consequences listed in the ASC Parent Handbook. Suspensions are considered at the second infraction, and dismissal from the program is considered at the fourth. Incidents involving threats, joking or serious, can result in an immediate suspension or dismissal.

Is tuition still owed if a student is suspended?
Yes. Tuition is based on enrollment, not on attendance. Tuition is only stopped if a student is dismissed from the program.
